Share links and invitations

Share ordinary assessment links and understand how 360 invitations differ.

For an ordinary assessment, survey, or quiz, share a live or scheduled wave's public link or QR code. Participants do not need a Datatrap account.

Share a wave

  1. Open the assessment's Waves tab.
  2. Find the wave and check that its status is Live or Scheduled. Only these waves have a share row, with the wave's link and the Copy link, QR code, and Present buttons.
  3. In the share row, select Copy link. The button changes to Link copied. If your browser doesn't allow copying, Datatrap says so: select the link text and copy it yourself.
  4. Send the link through your usual communication channel.
A live wave's share row with the short link and the Copy link, QR code and Present buttons

The share row shows the wave's short link when it has one. Select the link itself to open the wave in a new tab, as a participant would. Anyone who has the public link can open it while the wave is available. An identified wave asks for identity information; the link itself is not a sign-in credential.

  • To share a scannable code, select QR code in the share row. Select Download PNG or Download SVG to save it for slides or print.
  • To show the link to a room, select Present. The link and its QR code fill the screen under "Scan to start:" and the assessment's title. For a live wave, the view also shows how many people have finished. Select Exit present view, or press Escape, to return.

Straight after you create a live or scheduled wave, the New wave form offers the same Copy link and Present buttons.

Choose anonymous or identified collection

An identified wave associates submitted answers with a participant. Use consistent participant identities for matched before-and-after analysis.

An anonymous wave does not ask for a name or email address to identify the answers. If email report delivery is available, the report email address is used for delivery rather than saved as the identity attached to those answers. Free-text answers can still identify someone through what they write, so explain the collection purpose and avoid requesting identifying details in anonymous questions.

The Console has no participant list or bulk invitation for ordinary waves: share the wave link or QR code instead. Invitations can be sent through the API; ask whoever manages your integration if you need them. The 7-day team account invitation period is not a universal expiry period for assessment links.

Invite 360 participants and raters

Manage the people being evaluated in the 360 Roster. Starting nominations and rating sends the corresponding campaign emails. Raters use personal, single-use sign-in links that normally expire after 72 hours; the sign-in page lets them request a replacement for the same campaign.

Do not forward a personal 360 link or replace it with the public wave link. See Run a 360 campaign and Complete a 360.
