Request access, correction, or erasure

Arrange a personal data request through your organisation and training partner.

If you need access to personal data, a correction, or erasure, contact the organisation responsible for the assessment. Organisation administrators can coordinate the request with their training partner and Datatrap administrator.

The Portal has no screen for these requests. Your training partner or Datatrap administrator carries out the request, once someone authorised has agreed what it covers.

Describe the request

RequestWhat to provide
Access or exportIdentify whose personal data is requested and the relevant assessment or programme.
CorrectionExplain which record is incorrect and the accurate replacement information.
ErasureIdentify the person and records to be reviewed for deletion.

Use the organisation's agreed secure channel. Do not include passwords, API keys, or personal sign-in links in a support request. The responsible organisation may need to verify identity and consider other people's information before responding.

Understand the scope

GDPR access, rectification, and erasure rights belong to individuals. Their application depends on the circumstances; an organisation's operational export is not automatically the same as fulfilling an individual's request. See the European Commission's information for individuals.

Erasure can affect ordinary responses, 360 relationships, development records, and follow-up results. Ask the administrator to confirm what will be removed or anonymised before execution. Do not retain an extra copy merely to bypass an approved erasure request.

What erasure removes

Erasure removes the person's name, email address and other identifying details from Datatrap, along with any feedback other people gave about them. Answers they gave about other people are kept without their name or anything they wrote, so other people's results do not change. Any access they had to Datatrap ends straight away.

Erasure does not stop someone taking part again

Erasure removes the data Datatrap holds at the time. It does not block the person from future use. Datatrap keeps a record that an erasure took place, but nothing that says who it was for, so it cannot recognise the person later.

If the same person is invited to an assessment or nominated as a 360 rater afterwards, they are treated as someone new. Any data they give from then on is held and protected like anyone else's, and they can ask for it to be erased again.

If the person does not want to be invited again, make a note of that in your own records and tell the people in your organisation who might invite or nominate them.

The training-partner access setting is a separate day-to-day access control. It does not perform export, correction, or erasure.
